What are all the notifications/emails Harvest sends, and how do I enable/disable each one?

Harvest sends various notifications and emails to teammates. Some of the notifications and emails are account-wide, while others can be enabled or disabled on a per-person basis. You can learn more about each type of notification below:

Notifications managed by Administrators and Managers for projects and people⚭

Team-wide timesheet reminder emails⚭

What: Two automatic weekly reminders to fill out and submit timesheets for approval (if your plan supports timesheet approval): one before the Timesheet Deadline, and, if necessary, one after.

Who manages these: Administrators.

Who receives these: Everyone who has either tracked less than a certain percentage of their capacity, or anyone who hasn’t yet submitted their timesheet for approval, depending on the account’s settings.

One-time timesheet reminder emails⚭

What: Reminders to fill out and submit timesheets for approval (if your plan supports timesheet approval) for that week.

Who manages these: Administrators and Managers with assigned people and permission to edit time.

Who receives these: Manually selected individuals on an as-needed basis.

Project budget alert emails⚭

What: Alerts when a project has crossed a certain budget threshold (if your plan supports budgets). 

Who manages these: Administrators and Managers set to manage a project.

Who receives these: Team members determined by permission level and individual project settings. 

How to enable/disable: Edit a project and, within the Budget section, check the box for Send email alerts if project exceeds __% of budget and enter a percentage.

Why are the totals for my time entries different in different places in my account?

You may see inconsistencies related to how time is displayed or how time entries are totaled in your account depending on how your account is set to display time and/or if your account has time rounding enabled. 

Differences due to time display setting⚭

Your timesheets can be set to display time in either HH:MM (hours:minutes) or Decimal format. This is an account-wide setting and will show for every teammate in the account. If you notice that time entries don't match exactly between reports and your timesheet, the discrepancy may be tied to seeing decimal format in reports while being shown HH:MM format in your timesheet.

Differences due to time rounding ⚭

When time rounding is turned on, your team’s hours will be automatically rounded on:

Summary time reports (under Reports > Time).

On the Tasks and Team tabs of project analysis pages.

On new invoices.

Project budget calculations.

⚭Rounding is not applied to:

Actual time entries on your timesheets.

Detailed time reports (under Reports > Detailed time) you view in the app (CSV and Excel exports include both unrounded and rounded hours).

The contractor report.

    The app provides a solid way to track time and expenses. I mainly use the web version, which has more features than the mobile app. One frustrating issue involves the timesheet entries not sorting as they should. They sort based on when I entered them instead of the time tracked. If I change the time of an entry to be earlier than another, it still keeps the original order. The web app handles this correctly, so it's a bit annoying. Harvest, please take care of this!
