FAQ

How to See Totals by Tag and Categories

You can now view totals by tags and categories in multiple exports, including pay period downloads, report details, team summaries, and individual exports. This enhancement makes it easier than ever to analyze your data and gain valuable insights.

Follow the steps below to learn how to see totals by tags or categories: 

Step 1: Log in to your account on the Team Dashboard. 

Step 2: Click on 'Data exports'. 

Step 3: Click on 'New Export' from the top right corner of your screen. 

Step 4: At the top, choose between exporting by 'Team Summary' or 'By Member'. Apply filters for your data export such as:

- Team or Member Name

- Date Range

- File Format

- Export Type

For Team Summaries, decide whether you want a summary only or a full trips list with locations. If you choose 'Full trips list with location data', you can also opt to include all tags or select specific tags to be included.

Step 5: Once you're ready, click 'Generate export'. 

Step 6: Finally, click the download arrow to download the data export to your device.

Step 7: From the data export, you'll find a new tab at the top labeled 'Totals By Label' or 'Approved Totals By Label'. This tab displays the mileage value and expense total per tag and per category.

Step 8: Within this tab, you'll see a table providing a breakdown of each tag and category along with the total amount. 

That's it! You now know how to view a breakdown of your tags and categories!

Admins and Managers can log into the Team Dashboard and review reports for each member, rather than tracking down mileage logs and expense reports, which makes Everlance Business a time-saver for businesses!

Team Dashboard

The Team Dashboard, the administrative portal, allows the Account Owner, Admins, and Managers to view their team's expenses and mileage for easy tracking and reimbursement.

Generate reports for entire teams or sub-teams, or for individual members at any time, as many times as you'd like! Only work-related trips and expenses are accessible to the company, so your team members' privacy will always be protected. 

Programs

Programs, also known as "reimbursement programs", are frameworks within Everlance for Teams that enable businesses to define how and how much their team members are reimbursed for mileage and expenses incurred during work-related activities. These programs allow for customization of reimbursement rates and trip purposes to align with the specific needs and policies of the organization.

Schedules:

Schedules define when team members receive reimbursements. By setting schedules for reimbursements, organizations can ensure timely and efficient processing, enhancing employee satisfaction and financial clarity.

Reimbursements:

This feature allows organizations to run reimbursements similar to payroll processes. Users can approve a whole pay period or individual reports, ensuring timely and accurate reimbursements for team members.

Flags:

Flags are set up based on reports that require further investigation or review. Flags automatically highlight reports that need attention, allowing users to easily filter and approve or reject during report review, enhancing accuracy and compliance.

Expense Categories:

Expense Categories are pre-populated in members' accounts when adding expenses. Drivers can apply one category per expenses.

Tags:

Unlike Categories, Tags enable drivers to label expenses and trips. Trips and expenses can have one or more tags associated with them, facilitating organization and analysis. Tags are recommended for various purposes such as bill backs, charge codes, and project codes, enhancing the granularity of financial tracking.

Team Places:

Team Places feature allows users to save time by naming frequently visited places. Everlance automatically applies these names for everyone on the team, optimizing workflow management and enhancing efficiency in trip tracking.

Team Roles:

Roles determine what each user has access to within the Everlance platform. By defining roles, organizations can ensure appropriate access levels for team members, safeguarding sensitive information and optimizing security.

Compliance:

Everlance's compliance feature verifies each team member's current auto insurance and drivers license. By ensuring compliance with regulatory requirements, organizations can minimize potential liabilities and maintain legal and ethical standards.

FAVR:
